Client relationship tracking that AI keeps up to date

Each client record brings together what happened: emails sent and whether they were opened, meetings from your calendar with their notes, replies received, tasks in progress. AI writes the progress update, and you see the next action at a glance.

Why client tracking falls behind

A CRM is only useful when it is filled in. And filling it in always comes after the actual work with the client.

Data entry that never happens

After a meeting or an email, nobody takes the time to write down what was said.

Scattered conversations

Emails in one inbox, meetings in a calendar, notes in a document: nothing is in the same place.

A forgotten follow-up

Without a written next action, a warm lead hears nothing for three weeks.

What ERHA client tracking does

Client records live in your space, next to your tasks and your agents. They fill in from what you already do.

Client records

Companies and contacts, status, owner, next action and history, with one tab per status.

Tracked emails

An email sent from a task shows on the record with its opens and clicks. Replies received are added too.

Calendar meetings

Your Google Calendar or Outlook meetings with the client show on their record, with Gemini notes when Google Meet attaches them.

Written progress update

"Take stock" writes where the relationship stands: what was done, open points, next step. It can refresh on its own.

Contact search

ERHA searches your Gmail inbox and calendar for the people who dealt with the company. You tick the ones to add.

Read by your agents

Your agents read the record, its meetings and its notes before drafting an email or answering about a client.

How it gets set up

You start from your current clients and your current tools. Nothing has to be migrated in one go.

  1. 01You create or import your recordsAdd your clients by hand or by import, companies and contacts.
  2. 02You connect your inbox and calendarEach member connects their mailbox and their Google calendar, or an Outlook calendar link. Meetings with your clients land on their records.
  3. 03You take stock whenever you wantOne click on "Take stock" writes the progress update. Turn on automatic refresh so it follows every change.

An example: following up a lead

An eight-person agency tracks about twenty leads at once, between emails, video calls and quotes.

  1. The scoping meeting on Google Meet shows on the record, with its Gemini notes.
  2. The proposal goes out from a task: the record shows it was opened three times.
  3. The lead replies by email: the reply opens a task, and the agent drafts an answer for review.
  4. The progress update refreshes and the next action shows at the top of the record.

Outcome

Before a call, reading the record is enough: the full history and the state of the relationship are in one place.

Frequently asked questions

Does ERHA replace our CRM?

That is not the goal. ERHA client tracking is deliberately light: it brings together what your teams and agents do in the space. If you already run a full CRM, ERHA adds to it rather than replacing it.

Which calendars are supported?

Google Calendar, with Gemini notes when Google Meet attaches them, and Outlook or iCloud calendars through an ICS link, without notes. Each member uses one source at a time.

Is email open tracking mandatory?

No. A space admin can turn it off: emails then go out with no pixel and no rewritten links. No IP address is stored when tracking is on.

Who sees the records and meetings?

The members and agents of your space, which is isolated from other customers. Private, declined or guest-less meetings are not imported, and conversations between colleagues are ignored.

Can the progress update make things up?

It is written only from the record, its events, its contacts and the linked tasks. It never replaces the summary written by your team, it shows below it.
